If your practice depends on a detailed onboarding sequence, Dubsado gives you plenty to work with.
There is also evidence that users value the product. G2 lists Dubsado at 4.3 out of 5 across 76 reviews, and Capterra lists it at 4.2 across 61 reviews. Reviewers regularly praise contracts, invoices, proposals, portals, and automation. One productivity coach on Capterra called it an excellent CRM and specifically praised branded client communication, scheduling, and invoice payments.
So no, Dubsado is not some flimsy spreadsheet wearing a blazer. It is a capable business management platform. The question is whether its strengths line up with the daily shape of coaching.
Where Dubsado can feel heavy for coaches
Dubsado was built for service businesses broadly: creatives, consultants, doulas, accountants, legal professionals, coaches, event businesses, and more. That breadth is useful when your work looks like a sales and delivery pipeline.
Coaching is often not a pipeline.
For many independent coaches, the center of the work is an ongoing relationship. The client does not simply move from inquiry to proposal to contract to delivery to closed project. Capterra reviewers mention this plainly. A productivity coach said the setup could have been more intuitive and that, after more than two years, there were still features they had not fully set up. A different reviewer praised the tool but said figuring out automations and setup takes time.

CoachBase supports intake questions on booking, client records, files, packages, invoices, payments, and messages. It does not currently claim to replace a full proposal builder, e-signature contract system, or general-purpose form builder.
If your sales process depends on custom proposals, contract-heavy onboarding, and branded forms, Dubsado deserves serious consideration.
CoachBase goes deeper around sessions
The strongest CoachBase angle is not that Dubsado lacks business features. It has plenty. The angle is that coaching creates different records than project work.
A coach needs to know:
- What did this client say last session?
- What goal are we working toward?
- Which commitment did they make?
- What needs to be visible before the next call?
- Is this engagement still moving, or are we politely orbiting the same conversation?

Dubsado Premier includes video conferencing. The official plan guide lists it alongside the scheduler and Flows. That helps keep appointments inside the clientflow system, and for many coaches that will be perfectly adequate.
CoachBase includes native video on every plan: up to 60 minutes on Solo, unlimited video on Pro and Practice. Pro and Practice add AI session transcription, summaries, action items, and draft notes from recorded sessions. The coach reviews and edits before anything becomes the record.

The monthly prices are close. The real difference is packaging. Dubsado Starter is cheaper than CoachBase Solo but lacks the scheduler and automated workflows. Dubsado Premier is slightly cheaper than CoachBase Pro and stronger for forms, contracts, proposals, and portals. CoachBase Pro is stronger for native video, coaching goals, client timeline, and AI session notes.
Who should choose which
Choose Dubsado if your coaching business needs a polished sales and onboarding machine. If proposals, contracts, forms, client portals, payment plans, recurring invoices, bookkeeping integrations, and detailed lead-to-client workflows are central to how you sell and deliver, Dubsado is strong. It is especially sensible for coaches who also sell consulting projects, workshops, retreats, done-for-you services, or custom engagements where each client moves through a defined process.
Choose Dubsado if you want annual billing, a longer 21-day trial, PayPal or Square support, QuickBooks or Xero integration, or multi-user access today. Those are real advantages.
Choose CoachBase if coaching sessions are the center of the business. If you want a client timeline that connects sessions, notes, goals, tasks, messages, files, invoices, and payments, CoachBase is the better fit.
